Ferguson is currently seeking the right individual to fill an immediate need for an Administrative Assistant. The Administrative Assistant supports the Legal - Corporate and Product Assurance teams. This position reports to the Vice President & Deputy General Counsel - Corporate and the Senior Director - Product Assurance in the Legal Department.

This is a Hybrid role based out of Newport News, VA, in accordance with the Ferguson Flex schedule; 3 days office / 2 days remote.

Responsibilities

  • Perform routine clerical support for Legal – Corporate and Product Assurance teams, such as data entry, copying, distributing mail, notarizing documents, ordering supplies, and maintaining records and files following standard procedures.

  • Gather, compile, request, and verify information and enter it accurately into documents (such as reports, presentations, or forms) and office systems (such as Microsoft Teams/SharePoint sites, PowerPoint, Power BI, DocuSign, entity management and other databases, billing software, and spreadsheets).

  • Organize and plan logistics (e.g., facility selection, menu planning, travel and transportation arrangements, and audio/visual equipment) for team meetings.

  • Assist with budget management, including processing and reconciling invoices and expenses.

  • Tracking company assets, including computers and cell phones, used by associates.

  • Assisting with onboarding new associates and office space coordination.

  • Maintain list of legal department subscriptions and users.

  • Participate, as needed, in department meetings.

  • Other administrative tasks as assigned

Qualifications

  • High proficiency with Microsoft Office products (Teams, Outlook, Word, Excel, PowerPoint, etc.) and ability to explore and quickly learn other software applications required.

  • At least 5 years of administrative experience, preferably at a public company.

  • Experience supporting multiple functions in a fast-paced environment strongly preferred.

  • Licensed notary strongly preferred.

  • Budget tracking and invoice payment experience preferred.

  • Ability to prioritize and manage deadlines when dealing with multiple tasks combined with the ability to work with a sense of urgency when needed.

  • Must be self-motivated, have strong attention to detail and be able to maintain strict confidentiality.

  • Strong organization and verbal and written communication skills.

  • Excellent phone etiquette and verbal communication skills that are professional, enthusiastic and cooperative.

  • Poise and maturity to interact with individuals outside and inside the organization.

  • Associate Degree or higher preferred.

Pay Range:

$17.74 - $29.08

Estimated Ranges displayed are Monthly for Salaried roles OR Hourly for all other roles.
